About the OTH Regensburg publication server

The library of the OTH Regensburg offers with the publication server OPUS the possibility to the members of the university - scientists, teachers and students - to publish scientific documents.

The bibliographic data and the fulltexts are published on the Internet and indexed by search engines. They can be researched in many ways and are freely accessible.

The documents will be uploaded to the publication server by the university staff themselves. It is also possible to upload bibliographic data only.

This service of the OTHR university library is free of charge.

The content of the server is maintained by university library and technically operated by the Kooperativer Bibliotheksverbund Berlin-Brandenburg.


Advantages of publication on the OTH Regensburg publication server

Circulation
The electronic publication can be accessed at any time all over the world and can be used without charge. Open Access online publication is recommended by the Deutschen Forschungsgemeinschaft (DFG) and the Hochschulrektorenkonferenz.

Reference
Your publications can be researched comfortably in the publication server of the OTH Regensburg by different search entrances. The metadata is also captured by numerous known search engines. The publications will also be catalogued by the Regensburger Katalog plus, by the Bavarian Library Network and by national and international catalogue databases.

Storage and long-term availability
Your electronic publication is stored and archived on the publication server of the OTH Regensburg as a PDF file. All publications will be assigned a Uniform Resource Name (URN) at the Deutsche Nationalbibliothek. Publications will be permanently accessible and citable under this address. Electronic documents will also be permanently stored on the server of the Deutsche Nationalbibliothek.

Publication list
It is possible to link to individual publications on the publication server (URN) or to complete lists of an author or a faculty/institution. Alternatively, the integration of publication lists into external websites is also possible.


What types of documents can be published?

Members of the OTH Regensburg may electronically publish books, essays, congress and project reports, preprints and other academic documents. If the appropriate legal permission via the publication contract has been obtained from the copyright owner, the complete texts may be made available online. The publication of student theses – i.e., final research papers for obtaining bachelor’s and master’s degrees – requires the permission of the supervising professor at the OTH Regensburg.


Are the publications fully citable?

Generally, OPUS publications are comparable to any other conventional publications and can thus be cited as well.
Electronic publications should be cited in accordance with ISO 690-2.

URN

All documents are given a URN, a Uniform Resource Name.
The purpose to the URN is to identify your publication permanently and to make it searchable. The URL describes the (physical) storage location of a resource. The URN, on the other hand, does not describe the location where a file is stored but an entry at the URN Resolver of the Deutsche Nationalbibliothek where the URN and the accompanying (current) URL are saved. The advantage is that the URN is valid even if the physical location of a resource is changed (e.g. when a server is replaced). Indicate the URN whenever you cite your work.

Unfortunately, web browsers do not facilitate URNs directly. Rather, they must be translated into URLs. This is done by the Resolving Service of the German Library: http://nbn-resolving.de.

The URN must be "wrapped" in a URL so that internet browsers can send it to the Resolver which is between them. In order to access a document, the name of the Resolver http://nbn-resolving.de must be placed in front of the URN.

Hints for searching

Boolean Operators AND, OR, NOT

When you use the Simple Search, all terms are combined by AND automatically. For a more tightly focused search you may use the Boolean Operators to combine different search terms.

AND: The document has to contain all search terms.

OR: The document has to contain one of the search terms. This function broadens your search and is recommended, when there are different terms for the same meaning.

article OR paper

NOT: This function works excluding and might be useful to reduce a large result list: Documents, which contain the one term, may not contain the other.

article NOT paper

The Boolean Operators work for the Advanced Search as well. You may use them to combine different search terms within one search field. For example, to search for documents of the author "Doe" in the years 2002 or 2003, use the query:

Author: Doe
Year: 2002 OR 2003
Wildcards

In the field 'Search:', you may use the symbols '*' and '?' as wildcards. Use them in place of a character or characters that are unknown or that may differ. You cannot use them in front of a word or search string.

Example 1: chemi* finds chemical but also chemistry or chemist.
Example 2: licen?e finds licence and license.

You may use double quotes (") to search for phrases.


What means Open Access?

Open Access means in the sense of the "Berlin Declaration on Open Access to Knowledge in the Sciences and Humanities" the unrestricted and free access to scientific information as well as its use and circulation under preservation and correct name of authorship.

    The following goals are associated with Open Access:
  • free and no-fee access to scientific information for all,
  • to maximize the circulation of scientific information,
  • the best possible attention to the results of scientific research,
  • fast publication and timely access,
  • optimal further use of scientific information and
  • transparency and quality assurance


How do I publish my work here?

The publication server of the OTH Regensburg allows users to publish full-text documents or just register bibliographical information. The formatting of texts uploaded should adhere to the standards of academic publishing. Documents are stored in a uniform, platform-independent format. The following format types are accepted: pdf, pdf/a, jpg, gif, tif, mp3, mp4, avi, wav, mpeg, and zip. Most documents are stored as PDFs because that format currently offers many advantages. The maximum file size is 250 MB. If your file is larger, or if your document is in a different format, please contact us.

To upload your document, go to Publish. There you will be asked to select from a list of document types. Below you can upload your file or files. This leads you to the actual submission form. You will be asked to supply some information about your text, known as metadata, that essentially serves as the catalogue description and for other bibliographical indexes. Depending on the document type, some of the fields will be marked with an asterisk. These must be filled in.

Once you are done, a summary of the information you entered will appear. You now have three options: correct the information if needed, cancel the submission, or save your data. Saved information and uploaded texts are then subject to a formal review by university library staff before being published.


Is it possible to enter just the bibliographical information of my text without publishing it?

Yes. You can choose to enter only the bibliographical information. Please make sure that the data is as complete and accurate as possible to prevent misidentifications. Fill in the complete name of the author and complete the formal description of the text and its contents.

Fill in the form with the necessary information to describe the content and form of the document.
The bibliographic data will only be entered and made publicly accessible after a formal review by staff members of the university library. At the end of the forms you can use the field notes to enter further information about your publication which you cannot place in any other field, e.g. whether the publication should appear in an external publication list or also why you cannot provide the full text of your paper.

You can also add the document to an already released citation. For Publish/Title Report, first select the corresponding document type and upload the file(s). In the field Notes note "Retrospective publication". The full text will then be subsequently linked to the citation and a URN will be assigned.


What are the technical requirements of my document or documents?

Accepted file formats
Your document must be formatted so that it can be used by commonly available readers. The size of the file should be as small as possible. File names may not contain special characters or spaces and should be fairly transparent (e.g. conference.pdf), since after publication the file becomes open access. The system currently supports the following document types: pdf, pdf/a, zip, avi, mp3, mp4, jpg, tiff, gif, avi, wav, mpg. If your document is in another format, please contact us.

No DRM encryption
The document may not be copy protected or access-protected in any other way. This is a requirement of the Deutsche Nationalbibliothek to ensure the long-term storage of the document.

If your document contains programs, files, video sequences, audio files or similar material on a supplemental CD or DVD,
these must be compressed into a ZIP file and then uploaded with the text.

Maximum file size
The system does not accept files larger than 250 MB. If you need to publish larger files, skip the uploading step and send us your document on CD or DVD.

Uploading file(s)
If you have problems uploading your documents, complete the form and email your file to bib-opus[at]oth-regensburg.de.

If possible, please submit text documents in PDF/A format at a later time. Barrier-free pdf
Documents in the publication server are usually published as PDFs. To guarantee their long-term storage, documents must be saved in standard PDF/A format. PDF/A is an international standard developed especially for archiving. It ensures that the file is readable even if the text’s font is not installed on a particular computer by embedding Open Type fonts, along with images and metadata, in a standardized format.


Editing/deleting documents



In principle, no provisions have been made to change or delete documents, not even for final theses, as this ensures the authenticity of the documents. Thus, they are identical to the printed publication.

If the author wishes to make a correction, he needs to submit the edited document afresh. This is equivalent to a new edition in case of print media.

General information on the publication form

Please click on the publication link on the start page.
First you are requested to choose a document type. Right beneath that you can upload your document files. Having done so you may click on "send". What follows now is the actual form. You have to fill in data about your publication here (so called metadata), which is used to describe your work in catalouges and other bibliographic directories. Describe the document you want to upload using the categories and fields on the publication form. Depending on the document type, some of these fields are mandatory and therefore have to be filled in. Please describe your document as clear as possible. Mandatory fields are for example:

  • the document type (must be choosen from a list)
  • the title of your publication and the language of the title
  • the abstract of the document
  • the publication date of your document (normally the day you publish it online)
  • the language of the document (must be choosen from a list)
  • the licence, under which you want to publish your document (must be choosen from a list)
If you are unsure what to fill in certain form fields, you can point the cursor on a field and an explaining help text will be shown.
After you have finished the form, all data will be displayed once again for a check-up and you then have three possibilities: you can correct them if necessary, add your document to a collection or simply safe it directly.

Please indicate all authors of the publication. If more than one, provide them in the order used for the publication. For instance, if you are uploading a journal article in which the author names appear as “Meier, Martin / Müller, Martina / Schulze, Sabrina,” please use the same order, even if you are Sabrina Schulze. “Author” includes anyone responsible for the publication’s intellectual content – the writer(s) in the case of textual documents, and artists, photographers or illustrators in the case of pictorial documents.

Please select to which faculties/institutions the publication should be assigned.

Main title (required)
Please indicate the main title of your document. Especially with online publication, it is recommended to provide translations of the title (e.g., into English) so that search engines can find your document in a better way. To enter the title in another language (or to delete), click the button.

Subtitle
Please indicate the document subtitle. If you translated the main title into another language, please do the same for the subtitle.

Abstract (up to 2000 characters)
An abstract is a brief description of the contents of a publication. The description may not exceed 2,000 characters. An existing abstract in the document can be added to the field using copy and paste. If no abstract has been prepared, use the introduction, summary, table of contents or the like instead. Short, meaningful summaries help others to find your text when performing online searches, as most databases and university search machines rely on the abstract when the full text is not available. To provide an abstract in another language, click the button.

Publication year
Please indicate the year your document was first published.

Online publication date
Enter the date when your document may be published on the publication server of the OTH Regensburg. In case your document has not yet been published in any way, enter today’s date. Also use this field if your publication has appeared elsewhere and you want to publish it on the publication server of the OTH Regensburg. In many cases, publishers are willing to release texts for open access on university publication servers only after a certain amount of time has elapsed. It is not necessary to wait until the time embargo is over before registering the title. Upload your publication whenever you want and we will automatically publish it as soon as it is legally permitted to do so. Detailed information on publication embargos can usually be found in the signed publication agreement. If this agreement is not available, consult the SHERPA/RoMEO list to find out the typical embargo periods for your type of publication.

Place of publication
Indicate the location of the document’s publisher. For online publications, that are being published on the publication server of the OTH Regensburg, use “Regensburg”.

Scope
Indicate the number of pages or the duration (in minutes). For essays, use the following form: “First page – last page”.

Publisher
Enter the name of the publisher, if applicable.

ISBN
indicate the ISBN if available.

ISSN
Enter the journal ISSN. Only important for articles from journals or entire journal issues. The ISSN can normally be found on the first page, beneath the masthead.

Keywords
Enter any keywords that describe the contents of the publication. We recommended using meaningful terms in English as well. University library staff can also add their own keywords in accordance with the Keyword Catalogue Rules.

Publication series of the OTH Regensburg
If your text appeared in a publication series of the OTH Regensburg, select this option from the drop-down menu. Then enter the volume number if available. In case your document has appeared in a different publication series, indicate the title in the field Other publication series.

Other publication series
Indicate here the publication series in which the text appeared if the series is not a part of the OTH Regensburg or if the title does not appear in the drop-down menu of publication series. Follow the name with volume number of the series.

Please enter the OTH project number if the publication is related to an appropriate research project. If you have any questions, please contact the IAFW.

Notes Use this field to provide information about your publication that does not fit in any of the other fields. This can include comments, questions, references, and suggestions.


What's metadata?

Metadata can be defined as

  • data describing one or more ressources or as
  • data associated with an object and describing it
Basically metadata is describing documents, objects or services and contains information about their content, structure or form. More precisely metadata is a description of data or "data about data". Bibliographic data sets and catalogue entries in library catalogues can be considered as a kind of metadata.

This repository is using metadata in the Dublin Core Metedata Element Set (short Dublin Core (DC)) which has fifteen basic elements. Dublin Core is the result of international efforts to reach for a collective consensus in describing electronic objects (in the broadest sense). The Library of Congress (LoC), the Online Cataloging Library Center (OCLC) and several national libraries are dealing with Dublin Core in many projects and are close to introduce the system respectively.


What document types are available?

Available publication types are Bachelor's, master's and Diplom theses

  • Bachelor's thesis: Thesis required for completing a bachelor’s degree.
  • Master's thesis: Thesis required for completing a master’s degree.
  • Student thesis: This term refers to student theses for degree programs instituted before the start of the Bologna Process, e.g. Diplom theses.

What happens after uploading the data?

The descriptive data of newly submitted files will be checked by library staff and corrected or completed if necessary. If we still have questions, we will contact you.

In the case of an initial publication the declaration of consent/author contract signed by you must be sent to the library, then the document will be published on the server and is therefore available on the Internet. In the case of final theses, term papers and student research projects, the recommendation listed on the contract must additionally be signed by the supervising professor.

If the library does not receive the contract within eight weeks, your data will be deleted from the cache and not published.


Declaration of consent (author contract)

With the declaration of consent or the author contract you grant OTH Regensburg certain rights of use which are necessary for the storage, provision and long-term archiving of the document.

Until the author's contract has been handed in at the University Library, your document is not made public on the publication server. The completed and signed contract can also be sent as a scan via email to renate.siegmueller@oth-regensburg.de.

Please submit one copy of the contract per publication. If several authors are involved in a publication, all authors should sign the contract if possible.

In order to fill out the form online, it must be opened with Acrobat Reader.



This does not necessarily contradict the publication on our document server. Please ensure in any case, whether your publisher allows a parallel publication! To do that you can use the SHERPA/ROMEO list.


What means Zweitveröffentlichungsrecht?

Irrespective of the provisions in the publishing contract, a publication may still be made publicly accessible in accordance with §38 (4) UrhG (German Copyright Act) if the following conditions are met:

  • were created within the framework of at least half of the research activities funded by public funds (DFG, BMBF, EU, etc.)
  • after twelve months since first publication
  • in the accepted manuscript version

If these conditions are fulfilled, the source of the first publication must be indicated and no licence for commercial use may be granted.

This second publication is referred to as the "Green Path" in the context of Open Accessor or "self-archiving".


Can I place article preprints and postprints on OHMdok?

In most cases, it is legal and even desirable to publish pre- or postprints of journal articles. Many publishers will not object to an open-access publication after a certain waiting period has expired.

The policy followed by your publisher in this respect is defined in the publication contract between you and your publisher. It can also be found in the SHERPA/ROMEO-List.


What about use licenses?

As the author, you yourself can determine the terms of use for your publication.

In the OTH Regensburg publication server, you can choose from different Creative Commons Licences and thus specify the user rights of the copyright. When you select a Creative Commons Licence, you decide under which terms your published work can be used in the future.

Copyright

If you want to publish full texts you must fill out and sign the Declaration of consent/author contract.
By signing the contract you confirm the following: The author or authors alone hold the rights to the uploaded file.
By publishing the document and any other text and/or images of third parties contained therein, the rights of such parties are not infringed.
The holder of the rights declares that he shall immediately inform the library of the OTH Regensburg in case of doubt or if presumed or actual legal obstacles should arise in this respect.

The library of the OTH Regensburg, and possibly the German National Library as well as respective special collection libraries will be allowed to save the document and its metadata and to publish it online in data networks and, if necessary, to convert them into other data formats.


Policies

1. Purpose

The OTH Regensburg publication server provides all faculties and students of the Ostbayerische Technische Hochschule Regensburg a place to make their academic texts globally available online. It provides long-term archiving of texts and ensures that they are locatable and fully citable. Books are catalogued by the university library, the Bavarian Library Network, the German University Library and the WorldCat and appear in web search engines.

2. Rights of use

Authors grant the university library of the OTH Regensburg the following rights of use:

  • the right to electronically store publications and abstracts and make them available in data networks and when needed on other storage media;
  • the right to transmit the publication and the accompanying metadata to the German National Library, the Bavarian State Library and other regional or subject-related publication servers;
  • the right to change and/or complete metadata provided by the author or editor

Publication on OTH Regensburg publication server fully preserves the author’s or authors’ copyright because it only grants simple rights of use to the university library, which accordingly may not publish texts in other journals, monographs, or servers. When signing publication agreements, authors are encouraged to obtain additional rights of use and select one of the Creative Commons licences.

Authors and editors of electronic documents are responsible for observing third-party copyright laws. The OTH Regensburg is not liable for damages that result from infringing on those laws unless it can be demonstrated that it acted wilfully or was grossly negligent. If authors or editors are informed of existing legal obstacles, they are to notify the university library immediately.

Most publishers now permit texts to be stored on institutional repositories or on the author’s homepage, though it is usually comes with certain conditions such as an embargo period before the first publication and open access availability online. The SHERPA/RoMEO list contains information about exactly what publishers permit. If you have questions, contact your publisher.

Authors and editors are solely responsible for contents of their texts. The university library of the OTH Regensburg is not legally responsible for the contents of publications and their external links. Authors and editors promise that uploaded documents do not infringe on legal provisions, official regulations, or other third-party rights.

Authors shall receive no remuneration for their texts and the university is not permitted to utilize publications on the OTH Regensburg publication server commercially. The university plans to store publications on OTH Regensburg publication server indefinitely. Documents that have already been published will not be deleted from the university server. The university library is authorized to keep publications offline or delete them from the OTH Regensburg publication server, if they infringe on third-party rights or on other legal provisions and official regulations.

3. Requirements for electronic documents

For the purposes of this terms of service an “electronic document” is a document containing text, images or audio/video files stored in digital form and circulated over research networks. An electronic document on OTH Regensburg publication server must satisfy the following requirements:

  • it is intended for publication.
  • it is in a finished form (if changes are necessary, a new Version must be saved) and it meets the technical Parameters defined by the University library

4. Document types and authorised users

Electronic documents produced by university faculty and students for the purposes of teaching, research, scholarship, or professional development can be stored on the OTH Regensburg publication server. Documents must fit into one of the following categories:

  • monographs (complete or as part of a series), entire journal series, journal articles, conference reports, conference papers, reports, preprints reviews, course materials, lecture texts, images, films, audio files, publication series of the OTH Regensburg, student theses completing a Diplom, bachelor’s or master’s degree. The full texts of student theses will be published only with the written approval of the supervising professor. Abstracts and metadata can be uploaded with or without professor approval. Full texts of student papers will only be accepted by recommendation of the supervising professor.
  • research data

5. Long-term availability and security

Publications on the OTH Regensburg publication server will be stored as secure PDF files. Documents that do not primarily consist of text can be stored in image, audio, and video formats. To ensure that documents are locatable and fully citable from anywhere in the world over the long-term, each receives a URL and a persistent identifier (Uniform Resource Name) using the urn:nbn format of the German National Library. Though long-term open access is the aim, the OTH Regensburg publication server can in justified cases restrict document circulation (e.g., to the IP address range of the OTH Regensburg).

6. Query data

The contents of OTH Regensburg publication server are meant to be searchable anywhere. To achieve this, every publication’s bibliographical and technical data are recorded in Dublin Core format along with an abstract, a classification, and/or a series of keywords. This information must be preferably provided by the author. If needed, university staff will correct or complete the data to ensure uniform quality standards.

7. General information

The server is managed by the university library and technically overseen by the Cooperative Library Network Berlin-Brandenburg (KOBV).

Publication on the OTH Regensburg server is free of charge for faculty and students of the OTH Regensburg.

An online submission form is available for depositing electronic documents on the publication server.

Contact the university library about any questions relating to the publication server.

Supervising professors are responsible for questions relating to the full-text publication of student theses and papers.


Export of metadata

Exporting into reference management programme
The metadata of a title can be exported in the RIS and BibTeX formats, i.e. standardized reference management programmes. The Citavi reference management programme is being made available to students, instructors and other staff members of OTH Regensburg as a Campus Licence. You can use the "RIS" button to export data

Export as an XML file
Whether you use the Search or the Browsing options, your result list can be exported as an XML file and thus be further processed independent of any platform.
To do so, please add the following parameter to the URL: /export/xml/stylesheet/example or use the "XML" button.

RSS-Feeds
The ten most recently published documents are listed in the RSS feed which informs you about new publications on the OTH Regensburg publication server. You can subscribe to RSS feeds for various search queries (incl. selected facets) To do so, you will need to add the following parameter to the URL: /export/rss
