- What is HSDopus? – General information, benefits, advantages

HSDopus provides all members of the Hochschule Düsseldorf the opportunity to record their scientific and artistic works or publish works electronically. The records are available world wide and searchable via web search engines and catalogues.
As the university’s bibliography, HSDopus should reflect the publication activities of members as completely as possible.

All members of the Hochschule Düsseldorf University of Applied Sciences (faculty, students and researchers) can document results of their scientific or artistic work on HSDopus. Provided the legal requirements are met, already published documents can also be made available (Self-archiving).
Note: Term papers and final theses can only be published with approval of the examiner or thesis advisor. Excepted from this rule are final theses from the Faculty for Social Sciences and Cultural Studies graded with 1.0. For these documents no separate approval is required.
- What can be published on HSDopus?

Scientific and artistic works by members of the Hochschule Düsseldorf University of Applied Sciences can be made available as text or image files. Works by students need to be approved by a faculty member, e.g. the examiner or thesis advisor. Excepted from this rule are final theses from the Faculty for Social Sciences and Cultural Studies graded with 1.0. For these documents no separate approval is required.

Through HSDopus the scientific and artistic publications of all members of the Hochschule Düsseldorf University of Applied Sciences are recorded bibliographically and are therefore ascertainable. All works published while the author is a member of the Hochschule Düsseldorf are taken into account.
The visualization of publication activities serves the development of institutional and personal profile. Through building the University Bibliography these information are be easily accessible in the future.

- How can I report bibliographic data in HSDopus?
HSDopus supports the embedding of personal bibliographies on university websites. You can report publications in two different ways.
- You can report individual publications via the Submit-Button.
If your publication has a DOI you can choose the option “Import from DOI”. In the following menu please click “Import metadata from Crossref”.
You can record bibliographical data manually. Required fields are indicated by an asterisk (*).
You can use the field “notes” at the bottom of the page to give information that do not into any other field.
If you only want to report a publication you don’t need to upload any documents. Accordingly the consent form is not required for reporting bibliographical data.
Nonetheless you are welcome to provide a full text, if the legal requirements for sharing the document on HSDopus are met (s. Self-archiving, Open Access). -
If you want to report a larger number of publications employees of the University Library can upload the data for you. Contact us and send us a list of the publications you want included.

Article
denotes documents contributed to an academic journal, for example as articles, editorials, indexes, or tables of content.
Audio
denotes an audible content, including recorded speech and music.
Bachelor Thesis
denotes a document submitted to receive a bachelor’s degree.
Book (Monograph)
denotes a monograph written by one or more authors addressing a specific topic in a comprehensive way and with reference to current research.
Conference Proceeding
denotes all kinds of documents related to a conference (conference papers, conference reports, abstracts, contributions to or volumes of conference proceedings, scientific posters).
Doctoral Thesis
denotes a document submitted to receive a doctorate.
Image
denotes a form of two-dimensional representation composed of line, shape, shading etc. designed to be perceived visually as a still picture. Examples are drawings, paintings, photographs, maps, diagrams, or visualizations in every physical or digital format.
Master Thesis
denotes a document submitted to receive a master’s degree.
Moving Images
denotes a series of visual representations that suggest movement if shown successively. Examples are animations, movies, videos, zoetropes, or the visual representation of a simulation.
Other
can be used for all documents that do not match the given publication types (e.g. instructions, brochures, flyers).
Part of a Book
denotes publications issued as Chapters in an scientific anthology or collection.
Periodical
denotes a complete Journal Issue. The publication type is used for edited special issues.
Preprint
denotes preliminary scientific or technical documents that are not (yet) peer reviewed and will potentially be included in an academic journal or book.
Research Data
denotes data generated and/or used in the scientific process. Type and forms vary by discipline and research field. Research data include for example survey data, measurements and structured observational data, metadata, and compilations of texts, visual materials and simulations. The publication type includes sets of digital or analog research data which are publically accessible or data prepared for research purposes (Scientific Use Files). Documentation has to be available.
Study Thesis
denotes written works produced as part of the course of study
Working Paper / Report
denotes a published scientific document issued directly by researchers, research institutions or as result of commisioned research. This publication type includes scientific reports, assessments and evaluations of public institutions, scientific expertises and accompanying research.
- What is metadata and what is it for?
Metadata is defined as- data describing one or more ressources or as
- data describing an object to which they are connected.
Generally metadata is understood as a description of documents, objects, or services which contains information on their content, structure, or form. More abstractly metadata are descriptions of data, “data about data”. Bibliographical records and catalouge entries can be considered metadata.
The metadata on this institutional repository is based on the fifteen basic elements of the Dublin Core Metadata Element Set (called Dublin Core or DC, respectively). Dublin Core is the result of international efforts to find a consensus on the description of electronical objects.
Metadata on the documents published on this institutional repository is retrievable via the OAI-interface, and may be saved, enriched and shared (CC0-Licence)
- How can I submit a document for publication?
Step 1
To submit a document for publication please click on the “submit”-button in the menu.
First, you will be invited to choose a document type. Directly below you can upload the document(s) you want to publish. Publications are mostly uploaded in PDF (Portable Document Format).
If you are a member of Hochschule Düsseldorf University of Applied Sciences please add a check for including the publication in the University’s Bibliography.Step 2
Please read the notes regarding the right of use and give your consent by adding a check. You can find additional information in these FAQ. Please send a signed print version of the consent form to the University Library.Step 3
Enter the bibliograpical information regarding the document you want to publish in the following form. Required fields are indicated by asterisks (*).Step 4
Finally you can check all given information and correct mistakes if necessary. Save the Input. Employees of the University Library will check the data and publish the document. If additional information is needed, we will notify you via email.Step 5
Please remember to print out the consent form, fill it in and hand it in at the university library.- How can I use HSDopus for self-archiving?
Academic Articles can be made accessible under specific conditions after publication through self-archiving. The University Library enables and supports self-archiving through HSDopus. Our self-archiving service guides (unfortunately only in German) researchers through the self-archiving process and helps with clarifying the legal requirements.
- What are the technical requirements for uploaded documents?
Permitted file formats
- Text documents: PDF, TXT, HTML, HTM
- Image files: BMP, JPG/JPEG, PNG, TIF/TIFF, GIF
File size We accept files up to a size of 250 MB. Larger files have to be split in a reasonable manner.- How can I publish a publication series on HSDopus?
If you want to issue a publication series, please contact the Information Science Service.
If you want to publish in a running series, please contact the editors.- Can published documents be modified or deleted?
In this regard a publication on HSDopus does not differ from a print publication. Once published, documents cannot be modified, corrected or deleted. In this way, the authenticity of the documents is guaranteed. If an author wishes a modification, a new version must be published, comparable to a new edition of a print publication.- What is Open Access?

Rights owners have to consent to the use of their document(s) with the signed consent form. Students who want to publish their theses have to provide their advisor’s approval on the consent form.

Exploitation rights
Exploitation rights for publications on the institutional repository HSDopus remain with the previous owner, i.e. with the originator or – if the rights were transferred – with the new owner, in most cases a publisher. The rights owners only transfer non-exclusive rights to publish and archive the work online to the Hochschule Düsseldorf University of Applied Sciences. The right to publish their work remains with the rights owners.Rights of use
German copyright law (Urheberrechtsgesetz, short UrhG) applies for documents published in electronical form via data networks, provided the rights owners did not agree to special terms by using a Creative Commons license. According to § 53 UrhG readers are allowed to make copies for personal non-commerical use. Other limiting provisions of the UrhG apply (§§ 44a-53). Other kinds of use require the written consent of the rights owners. Users are responsible for compliance with the law. They can be held liable for misuse.- What are the guidelines for HSDopus?
Guidelines for the institutional repository of the Hochschule Düsseldorf University of Applied Sciences (HSDopus)
- Aims and content scope
The institutional repository HSDopus provides the organizational and technical framework for the electronic publishing and archiving of research results to all members of the Hochschule Düsseldorf University of Applied Sciences made available in compliance with the quality standards for research and training.
The repository promotes and supports Open Access in technical and legal respects. The Hochschule Düsseldorf University of Applied Sciences supports the call for open access to research publications issued in the Berlin Declaration of 2003. Researchers at the Hochschule Düsseldorf are kindly asked to make their publications available on HSDopus, as far as permitted by copyright law or their publishing contracts, respectively.
Digital publications on HSDopus are retrievable via national and international library catalogues and search engines. Long-term archiving is provided in cooperation with the German National Library. Recommendations and Standards of national and international institutions like the Deutsche Initiative für Netzwerkinformation (DINI), the Dublin Core Metadata Initiative and the Open Archive Initiative (OAI) are taken into account in the operation and development of HSDopus.
- Legal framework
Authors transfer the non-exclusive right to store their work electronically in the institutional repository of the Hochschule Düsseldorf University of Applied Sciences. Furthermore, they transfer the right to provide public access to the document, to transmit the work and to archive and make copies of the work for these purposes.
Copyright and the right to publish the work elsewhere remain with the author or rights owner. The transfer of rights is agreed upon in writing: Consent form.
The authors decide if they want to publish their work under a license and which license they want to use. The University Library recommends licensing under Creative Commons Licenses CC BY or CC BY-SA.
The University Library reserves the right to block or delete works, for example in the case of copyright infringements or violations of good scientific practice.
The authors ensure that no third party rights (e.g. co-authors, publishers, founders) are violated, especially regarding copyrights. They assure to contact immediately the Hochschule Düsseldorf in cases of doubt or if any legal issues arise or may arise. The authors releases the Hochschule Düsseldorf from any third party claims.
- Digital publication
The term “digital publication” is understood to mean a publication in text, image, audio or video or other format stored in digital form on a data carrier and distributed through computer networks. A digital publication to be published via HSDopus fulfills the following conditions:
- Public distribution is intended
- The publication is static. If changes are necessary a new version has to be uploaded.
- Digital publications that can be published and distributed on the institutional repository
Researchers, students and other persons working in connection with the Hochschule Düsseldorf University of Applied Sciences can upload publications to the archive in the accepted file formats. Once published, contents may not be modified.
The following kinds of digital publications are included:- Publications authored by members of the Hochschule Düsseldorf
- Publications or publication series edited by members of the Hochschule Düsseldorf, e.g. Anthologies, Conference proceedings, Research reports or Journals
- Publications of students of the Hochschule Düsseldorf, e.g. theses, if the publication is approved by a faculty member
- Publications and publication series issued by departments or persons connected to the Hochschule Düsseldorf University of Applied Sciences
- Works whose publication is mandatory, e.g. dissertations or habilitations
- Works that accompanie courses or presentations
- Technical features of the institutional repository
The digital publications are assigned individual and permanent addresses that provide direct access to them. The addresses are registered as URNs (Uniform Resource Names). The administration and maintenance of the URNs is guaranteed by the operator. It is also possible to assign DataCite Digital Object Identifiers (DOIs).
Digital publications can be found via library catalogs, searches in bibliographic metadata, alphabetical and classificatory orders as well as dynamically generated lists and indices. Formal and content-related metadata for the published articles can be passed on to established scientific search engines (e.g. BASE and OAIster) via a standardized interface (OAI-PMH 2.0). In addition, search bots are specifically supported via special tags in the web pages and a sitemap, for example to increase visibility in Google Scholar. This ensures global visibility of the data published.
The publication should be available online for an unlimited period of time; the operators of the institutional repository guarantee an archiving period of at least five years. Archiving beyond this period depends on the availability of the format, the software and the conversion options.
Long term archiving is ensured with the German National Library according to it’s legal mandate. Currently, the preferred format is PDF/A.
- Organizational arrangements
The institutional repository is supervised by the University Library of the Hochschule Düsseldorf University of Applied Sciences. Hard- and software are supervised by the Kooperative Bibliotheksverbund Berlin-Brandenburg (KOBV). The application is based on the open source software OPUS4 for maintaining institutional and specialised repositories, released under General Public License (GNU).
The technical operator ensures the necessary data security and data protection. Furthermore the technical operator provides backup routines to secure the data.
The electronical publication is free of charge for the members of the supervising institutions.
Delivery of the digital publication for distribution on HSDopus is done via an upload form.

The institutional repository is operated based on the Software OPUS4. OPUS4 is documented on http://opus4.kobv.de/.
- In what formats can I export bibliographical data?
Export for reference management software
Metadata of recorded publications can be exported in the formats RIS and BibTeX. These are standard formats that can be imported to well known reference management softwares like Citavi or Zotero.
Export in XML
All lists of search results can be exported in XML format and processed further platform independent. Please get in touch with the contact partners for further information.- Imprint
