At BTU Cottbus–Senftenberg the PhD regulations of all faculties allow for the submission of an electronic version of the dissertation to fulfil the publication requirement.
- To publish your thesis you need a ready-to-publish note ("Druckreifevermerk") by the chair of the examination committee or PhD committee. Please provide the library with a copy of this permission.
- Before submitting your thesis please clarify all copyright and licence-related questions to ensure that the publication is not precluded by third party rights. If you also plan to publish your thesis with a publishing house, they must have agreed to the electronic publication by the University Library.
Copyright regulations - Reference management tools help you to keep track of large quantities of literature and make it easier for you to quote correctly and create bibliographies. The University Library offers an overview of reference management software as well as related courses.
- After passing your oral examination please add the title page as specified in your faculty’s PhD regulations. Please make sure to use the current faculty designation in the sample title pages, which may deviate from the content of the doctoral regulations.
- Create a file from your document in PDF/A-1b or -2b format. Files in PDF/A-1a or -2a format will also be accepted. The BTU PDF/A converter is freely available to all BTU members for converting and validating PDF files. During the conversion process, the metadata filled out in this tool will automatically be transferred and correctly placed into the PDF/A file.

- Transfer the metadata (abstracts in German and English with a maximum of 3.000 characters including spaces each, title in German and English, as well as 5 keywords in German and English) and your PDF/A file to the BTU Digital Repository. To do so, please use the registration form and select "Doctoral thesis" as document type.
Registration form - The Thesis Office will examine the metadata and files and will inform you afterwards if everything is complete and correct. Within this e-mail the Thesis Office will ask you to check your entry in OPUS and asks you to inform the department about possible changes. Please do not print your hard copies before you get this e-mail.
- At this point you can print the number of hard copies required by your doctoral regulations. Make sure your copies are printed on white, ageing-resistant, acid-free paper (standard specification DIN EN ISO 9706). The copies must be bound with a lasting durability. Tape bindings with plastic front covers, ring or spiral bindings will not be accepted. Please note that your PDF/A file and print copies must be identical in their whole content.
- At the bottom of the first page of the registration form you will be provided with a link to the Declaration of Consent. Please read this declaration carefully and fill it out. Afterwards submit the signed declaration form together with your printed copies to the University Library.
